Summary:  The Development Administrative Assistant is responsible for executing the day-to-day operations of Foundation operations.  This position works in close collaboration with the Foundation staff, Foundation Board, Hospital Board, Mary Free Bed Guild, and volunteers.  Duties include general clerical, database management, light accounting procedures, and project-based work.

Essential Job Responsibilities include (but not limited to):

Maintain donor list of current, past, and prospective donors in donor software.
Manage the development database operations including: software program setup, data entry, gift recording and acknowledgement, gift reporting, and maintenance of prospect and donor data.
Prepare donor queries, written acknowledgement letters, and coordinate and distribute in-kind gifts to the hospital.   
Correspondence and written material as assigned
Prepare and execute campaign mailings.
Help organize volunteer committees and assist with training of volunteers.
Develop reports for the Board and other leadership.
Responsible for tracking and reporting Development and Advancement Office budget including payroll, expenses, and invoices.
Handle donor information and interactions with sensitivity and awareness.
Assist in planning and executing fundraising events as needed.
Manage office supplies and storage, scheduling of meetings, and assisting Executive team administrative coverage.

Essential Job Qualifications (Knowledge, Education, and Training Requirements):

Associates Degree required, with at least one year event planning / fund development experience or similar.
Professional presentation with excellent verbal, written, and interpersonal communication skills.
Energetic, positive, “can-do” attitude.
Excellent organizational skills, with accuracy and attention to detail.
Working knowledge of MS Office Suite, Social Media, and database management.
Demonstrated ability to handle donor interest and personal information with tact and sensitivity, in a confidential manner.
Ability to work collaboratively with a strong customer-service orientation.
Ability to set and meet realistic goals, establish work priorities, organize people and materials to reach goals, handle pressure well, and evaluate and report results.
Ability to multi-task while handling work expectations including telephone, basic office machines, reading, typing, writing, computer/data entry, and some local travel during events.
Maintain donor and patient confidentiality.
Physical Demands:  Able to exert up to 10 pounds of force occasionally (up to 1/3 of the time); to lift, carry, push, pull, up to 10 pounds occasionally; to sit for the majority of the time, but may involve brief periods of time involving walking or standing; to use keyboard frequently (1/3 to 2/3 of the time)


Other Preferred Job Qualifications:

Bachelor’s degree preferred
Prior exposure to fund-raising processes and database management (preferably GiftWorks)
Bilingual writing/ reading/ speaking skills.
